Case Study: SME Digital Toolkit Pilot

Project Overview

The SME Digital Toolkit is a lightweight, web-based solution developed by SouMed Consulting to support small and medium-sized businesses in Liberia as they navigate digital transformation.

Our pilot program was designed to address a critical gap: most SMEs lack access to simple, affordable, and user-friendly digital tools for managing everyday operations like invoicing, inventory tracking, sales reporting, and customer support.

The goal: Empower small business owners with tech that works for them—not against them.

This project aimed to test whether a streamlined platform, optimized for low-bandwidth environments, could help SMEs save time, improve accuracy, and make better decisions.


🔑 Key Features

  • Smart Invoicing System
    Create, send, and manage invoices digitally, with tracking and automatic reminders.

  • Sales & Inventory Dashboard
    A simple interface to record daily transactions, monitor stock levels, and track product movement.

  • Customer Management & Support Notes
    Store customer contact info, purchase history, and support feedback in one place—no spreadsheets required.

Additional tools in the pilot version included:

  • PDF & CSV export for reports
  • Mobile-responsive design
  • Secure login with role-based access
  • Offline mode with sync-on-reconnect capability

🔧 The Process

The project followed a 3-phase structure:

  1. Design & Development (Nov–Dec 2024):
    Our product team worked closely with SME owners to identify core workflows and build a Minimum Viable Product (MVP) using open-source technologies.

  2. Pilot Deployment (Jan–Feb 2025):
    We rolled out the toolkit to 10 diverse SMEs—including clothing shops, stationery vendors, food businesses, and mini-distributors—in Monrovia and Paynesville.

  3. Monitoring & Feedback (Mar 2025):
    We conducted usage tracking, feedback interviews, and on-site observations to understand how the toolkit performed in real-life business environments.


📊 Results & Impact

The pilot revealed several strong outcomes:

  • 80% of users reported saving time on daily business tasks
  • 60% reduced errors in sales and invoice records
  • 70% said they felt more organized and in control of their business

🧭 Next Steps

Based on the pilot success, we’re moving forward with:

  • New features including SMS reminders, multi-user roles, and basic accounting summaries
  • Partnerships with local banks and MSME groups for wider distribution
  • Training programs and help resources for first-time digital users
